The Village of Telkwa is seeking an individual with exceptional skills to join our team as a Deputy Corporate Officer/Executive Assistant!
Reporting to the Chief Administrative Officer (CAO), the Deputy Corporate Officer/Executive Assistant (DCO/EA) provides administrative support to the CAO, Senior Management, and Council.The DCO/EA is a professional level administrative position entailing a variety of responsibilities, executed within tight deadlines and often involving confidential information. Duties include assisting with the management of all functions related to the statutory duties and responsibilities of the position of Corporate Officer (CO). The DCO/EA will play a key role in preparation of agendas, minutes, reports, bylaws, policies, and statutory notices as well as Freedom of Information (FOI) requests, administering oaths, taking affirmations, affidavits, and declarations. You will act as Corporate Officer in the CO’s absence and will serve as Deputy Chief Election Officer. Advanced professional verbal and written communication skills are essential. In this role, you will provide administrative assistance to other departments, and perform general office duties, reception, and provide front counter support. The DCO/EA is responsible for protecting confidential information and is expected to exercise courtesy, tact and diplomacy in the exchange of routine and non-routine information with other Village employees and the general public. This role requires significant multi-tasking abilities and initiative to effectively coordinate a variety of demands, tasks and projects and includes legal, property matters, and liaising with various levels of government and other regulatory bodies. Utilizing your exceptional business writing skills, you will prepare confidential and general correspondence, draft reports and participate in preparation of presentations to Council. At least 30% (550 hours) of time will be spent on grant research, grant writing, assisting with grant reporting and support for the organization.
Ideally, the successful candidate will possess post-secondary education related to local government, with previous experience in municipal government administration. A thorough understanding and working knowledge is required of BC municipal legislation including the Community Charter, Local Government Act, Freedom of Information & Protection of Privacy Act, and Roberts Rules of Order. This position requires working evenings for Council meetings as required.
Required Education and Experience:
Post-secondary education, completion (or in progress) of a Local Government Management Association (LGMA) certification program or certification, and/or as Certified Municipal Clerk.
At least five years of recent, related administrative experience supporting senior management
At least three (3) years’ experience in a small Canadian municipality as a Deputy Corporate Officer, Executive Assistant, manager or equivalent;
A combination of education and experience may be considered;
High proficiency in working with office software applications, such as: Word, Excel, Publisher, MAIS, CivicWeb, iCompass, Zoom, Teams, etc.
